tokens.

That's exponentially more memory than
what you get with standard chat GPT,
which starts to lose the thread after
about 128,000 tokens.
But here's where it gets really
interesting. Gems don't just remember
what you told them once. They maintain
what's called living document
connectivity with your Google Workspace.
If you link a gem to a Google Doc or
sheet and then you update that file
later, the gem sees the changes
automatically.

government stuff. That's not going to
work. You need to be specific about four
key elements: persona, task, context,
and format. These are the building
blocks that turn a generic chatbot into
a specialist.
Let me show you how I set mine up. For
the name, I literally just call it

instructions, I start with, "Help me
renew my real ID and manage my small
business tax deductions."
Now, watch this. See that little magic
wand icon next to the instruction box?
That's Google's AI powered instruction
expander. I click it and within seconds,
Gemini writes out a full four-page set
of system rules. The expanded
instructions define everything. The
persona becomes a helpful, concise
administrative expert who explains
government requirements without jargon.
The task is breaking down state and
federal filing requirements into
actionable steps. The context includes
understanding that I'm a small business
owner who needs both personal and
business tax guidance. And the format
specifies that responses should include
numbered steps, relevant deadlines, and
links to official forms.
But wait, there's more. This is the part
that makes gems actually useful. Scroll
down to the knowledge section and upload
relevant documents.
I'm dropping in a PDF of my state's
current DMV requirements and my 1099
form from last year. The gem will use
these as its source of truth. So, it's
giving me advice based on my actual
situation, not generic internet
information.
Hit save. And that's it. Your first
custom AI expert is live. The finance
coach gem. Now that you understand the
mechanics, let's build one that can
actually change your financial life.
Money stress is the number one anxiety
source for most Americans. And here's
the brutal truth. Most people don't have
a clear picture of where their money
actually goes each month.
This is where a finance coach gem
becomes invaluable.
The setup is similar, but the
instructions need to be more
psychologically sophisticated. You're
not just asking for calculations. You're
asking the AI to act like a financial
therapist who won't judge you, but also
won't let you off the hook.
Here's how I configure mine. Persona.
Act as a non-judgmental but firm
financial coach who helps identify
spending patterns and emotional triggers
around money.
Task: Analyze my monthly expenses from

my stated goals.

Format.
Provide a 90-day reset plan divided into

month, and growth month.
Upload your bank statements as a CSV
export. Maybe throw in your current

land. Then, give the gem these
instructions.

company. Conduct a realistic mock
interview based on the uploaded job
description. provide feedback on my
answers, focusing on storytelling
structure, technical depth, and culture
fit signals. After the interview,
rewrite my cover letter to directly
address the company's stated priorities.
Now, here's the game-changing feature,
Gemini Live.
This lets you actually speak to your Gem
out loud using your phone's microphone.
You can practice interviews while you're
driving to work, walking the dog, or
making dinner.

role you want. But wait, there's a bonus
use case here that parents will love.
You can create fun educational gems for
your kids. I built one called the
Dinosaur Birthday Planner that talks
like a T-Rex and helps children plan
their own birthday parties.
It asks them questions about themes,
guest lists, and activities, teaching
them project management skills while
keeping them entertained.

Okay, I know what you're thinking right
now. This sounds a lot like chat GPT's
custom GPTs.
Why should I care about gems? It's a
fair question, and the answer comes down
to where you spend most of your digital
life. If you live in Google Docs,
Sheets, Gmail, and Drive, gems are
objectively superior. Here's why.
Gems have that living document feature I
mentioned earlier. If you update your
project road map in a Google sheet, your
project manager gem sees those changes
immediately. With ChatGpt's GPTs, you'd
have to manually re-upload the file
every single time you make an edit.
That friction adds up fast, especially
if you're iterating on documents
multiple times a day.
Gems also integrate natively with Gmail.
You can have a Gem summarize email
threads, draft responses in your
specific tone, or even flag messages
that need immediate attention, all
without leaving your inbox.
GPTs require you to copy paste content
back and forth, which breaks your
workflow and slows you down. The context
window difference is massive, too.
Gemini's 2 million token capacity means
you can feed it an entire codebase, a
semester's worth of lecture notes, or a
comprehensive policy manual, and it'll
synthesize all of that information
coherently.
ChatgPT's smaller window means you often
have to break large documents into
chunks, which leads to fragmented
understanding and inconsistent answers.
That said, GPTs do have one clear
advantage. They're better for building
actual applications.
If you need to connect to external APIs,
run automated workflows, or build
something that non-technical users will
interact with as a standalone tool, GPTs
are the way to go. But for personal
productivity, research, and daily task
management, gems win. The way I think
about it is this. GPTs are for when you
want to build a product. gems are for
when you want to build your life.
Privacy and data governance. Before we
wrap up, we need to talk about the
elephant in the room, privacy. You're
feeding these gems personal documents,
financial data, and private information.
What's Google doing with all of that?
The short answer is it depends on your
account type. If you're using a personal
Google account, the keep activity
setting is your main control.
When it's turned off, Google uses your
chats to respond to you in the moment,
but does not use them to train future
models. Your conversations stay in your
account. For workspace customers, so
that's business, education, or
government accounts, the protections are
even stronger. Your data is completely
isolated within your organization.
It doesn't get shared with other
customers and Google explicitly does not
use it to train models outside your
domain.
Workspace also includes end-to-end
encryption for all prompts sent to the
underlying models. If you work in a
highly regulated industry like
healthcare or defense, there's a
specialized version called Gemini for
government that includes Fed Ramp High
authorization.
That means it meets the security
standards required for sensitive
military and public health applications.
The FDA and Department of Defense are
already using it. Google also maintains
a prohibited use policy. You can't
create gems that generate instructions
for self harm, build weapons, or provide
medical advice that contradicts
established science.
The system will block those requests
outright. And even though gems are
powerful, they're not infallible.
You should always verify AI generated
content, especially for legal, medical,
or financial decisions. These are
assistants, not replacements for
professional expertise.
What's next? the personal intelligence
era. So, where is all of this going?
The trajectory of gems suggests we're
moving towards something Google calls
ambient computing. Right now, you
interact with gems through a screen,
your laptop, or phone. But early in
2026, Google is rolling out Gemini for
home, which means the expert personas
you build as gems will become accessible
through every Nest speaker and display
produced since 2016. Imagine walking
into your kitchen and saying, "Hey Jim,
what's the next step in my tax prep

Your finance coach Gem responds through
your Nest Hub, pulling up the exact
documents you need." Or you're cooking
dinner and you ask your meal prep gem to
walk you through a recipe while your
hands are covered in flour. That's the
future we're heading toward. AI that's
woven into your environment, not locked
behind a screen. Google is also evolving
what they call the model picker into a
capability picker. Instead of choosing
between Gemini Pro or Flash, you'll
choose between fast mode for quick
answers and thinking mode for complex
reasoning tasks. The system will
automatically route your request to the
best model for that specific job.
The bigger vision here is solving what
experts call knowledge fragmentation.
In most organizations, expertise is
trapped in people's heads or scattered

experts. A company could build a client
